What information do we collect?
The information we collect depends on how you interact with We Too!. This may include:
- your name and contact details, such as your email address and telephone number
- information you provide when contacting us
- information provided when booking or attending an event
- emergency contact details where these are required for an event
- information provided when applying to volunteer with We Too!
- your preferences about receiving news and marketing from us
- technical information about how our website is used, collected through services such as Google Analytics
We only ask for information that we need for a particular purpose.
Events and TicketSource
We use TicketSource to manage bookings for some of our events.
When you book an event, information provided through TicketSource may be available to We Too! so that we can manage the event and maintain an attendee list. Where appropriate for a particular event, this may also include emergency contact information. We use this information for event administration and safety purposes.
If you choose to receive marketing communications when booking, your details may also be added to our mailing list. Marketing is optional and you can unsubscribe at any time.
Email updates and Mailchimp
We use Mailchimp to manage our email communications.
You may be added to our mailing list when you sign up using a form on our website, or when you book an event and actively choose to receive marketing communications from We Too!.
We rely on your consent to send these marketing emails. You can withdraw that consent at any time by using the unsubscribe link included in our emails.
We may retain a limited record after you unsubscribe so that we can make sure we respect your preference and do not add you back to marketing communications by mistake.
Volunteering and Jotform
We use Jotform to collect information from people interested in volunteering with We Too!.
We use the information you provide to consider your application, contact you about volunteering and, where appropriate, manage your relationship with We Too! as a volunteer. Please only provide information that is relevant to your application.
Contacting We Too!
If you contact us through our website, by email or by another method, we will use the information you provide to respond to your enquiry and, where necessary, provide information or support.
We will not add you to our marketing mailing list simply because you have contacted us.
Donations and JustGiving
Our website may provide links to JustGiving where you can make a donation to support We Too!.
Payments made through JustGiving are processed by JustGiving rather than directly through the We Too! website. Payment information you provide to JustGiving is handled in accordance with its own privacy arrangements. We Too! may receive information about your donation from JustGiving where this is made available to us.
Website analytics and cookies
We use Google Site Kit and Google Analytics to help us understand how people use our website. Who do we share information with?
We do not sell your personal information.
We may use trusted organisations and service providers to help us operate our activities and services. These currently include TicketSource for event bookings, Mailchimp for email communications, Jotform for volunteer applications, Google for website analytics, IONOS for website hosting and JustGiving in connection with online donations.
These organisations may process information on our behalf or, in some circumstances, act as separate data controllers under their own privacy policies.
We may also disclose information where we are legally required to do so or where this is necessary to protect someone in an emergency.
Information processed outside the UK
Some of the technology providers we use may process or store information outside the UK. Where personal information is transferred internationally, appropriate safeguards must be in place in accordance with UK data protection law.
How long do we keep your information?
We keep personal information only for as long as we need it for the purpose it was collected, or where we are required to retain it by law.
As a general approach:
- event booking information is retained only for as long as reasonably necessary to administer the event and deal with any appropriate follow-up
- emergency contact information is not kept for longer than necessary for the event or associated safety requirements
- unsuccessful volunteer application information will normally be retained for no longer than 12 months
- information relating to active volunteers may be retained while they volunteer with We Too! and for an appropriate period afterwards
- marketing information is retained while you remain subscribed, with a limited record potentially retained after you unsubscribe to ensure your preference is respected
- general correspondence will normally be retained for no longer than two years unless there is a reason why we need to keep it longer
- some information may need to be retained for longer where there is a legal, financial, safeguarding or regulatory reason to do so
Your rights
Data protection law gives you rights over your personal information. Depending on the circumstances, these can include the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to restrict how your information is used
- object to certain uses of your information
- ask for certain information to be transferred to you or another organisation
- withdraw consent where we rely on your consent
Not every right applies in every situation. You also have the right to object to your personal information being used for direct marketing.
